Editing knowledge with AI

You have a knowledge document whose wording is too dense, too sparse, or just reads awkwardly, and you want help improving it without handing full control to the AI. The Rewrite skill lets you do exactly that: you pick the kind of improvement you want, the AI proposes the new text as an inline suggestion, and you go through it change by change before anything is written. Nothing is saved until you decide to save it.

Choose a style

Rewrite is available from the Ask AI panel while you are editing a document. Its Style menu sets the kind of improvement, and Rewrite for clarity is selected when the form opens:

Style	What it does
Rewrite for clarity	Refines clarity and correctness: fixes grammar and removes redundancy while keeping every fact.
Shorten to about half the length	Tightens the text to about half its length, keeping its section headings.
Rewrite in a warmer, natural voice	Removes stilted or overly formal phrasing so the text reads naturally, with the meaning and facts intact.
Expand with more detail and examples	Adds examples, fuller definitions, and clarifying paragraphs, keeping everything already there.
Rewrite with your own instruction	Follows what you type in the Instruction box. With the box left empty, it makes a light pass for clarity.

The Instruction box is optional and works with every style, not only the last one: pick Shorten to about half the length and add “keep the glossary terms exactly as written”, and the AI does both.

Rewrite is read-only: it proposes changes to the document text and never alters your business model or catalog. Nothing outside the document body is affected.

While you are editing, the panel also offers Check which business entities this document covers, which reads the document rather than editing it. See Governance check for what that one does.

Edit a selection or the whole document

You can target a single passage or let the rewrite work across the full document:

• To target a passage: select the text you want to improve before running the rewrite. The suggestion then covers only what you selected.
• To target the whole document: leave nothing selected. The rewrite works on the entire body.

To run a rewrite:

1. Open the document and switch to edit mode.
2. Optionally, select the passage you want to improve.
3. Open the Ask AI panel from the Ask AI button in the top header. While you are editing, the panel offers Rewrite.
4. Choose Rewrite, then pick the Style that matches what you want.
5. Optionally, type into the Instruction box, for example “rewrite this for a non-technical audience”. Rewrite with your own instruction follows this box; every other style treats it as a refinement.
6. Select Run. The AI streams the suggestion directly into the editor as an inline diff.

Review the suggestion

The suggestion appears as an inline diff inside the editor: proposed insertions and deletions are shown in place, colored, alongside the existing text. Nothing has been applied yet.

You can work through the changes one at a time or handle them all at once:

• Each change has inline Accept and Reject controls. Use these to apply or discard individual changes.
• The review band above the editor offers Accept all, Reject all, and Next to move through changes in sequence.

The granularity of the diff depends on how you ran the rewrite. Selection edits are shown at word level, so you see exactly which words are changing. Whole-document edits are shown at line level, giving you a paragraph-by-paragraph view of the proposed changes.

Save or discard

After reviewing the suggestion, nothing has been written to the document until you choose to save it. Two outcomes are possible:

• Save: applies the accepted changes and writes the updated body to the document. Any changes you rejected are discarded.
• Discard: cancels the review entirely and leaves the document body unchanged, as if the rewrite had never run.

You can also run a governance check on a document to cross-reference it against your business entities and category lanes.
